WMIDMUN Code of Conduct

Please be sure to read this code of conduct, as all delegates will be expected to adhere to it for the duration of the conference. Failure to adhere to the Code of Conduct may result in dismissal from the conference.

  1. All WMIDMUN delegates will conduct themselves in a diplomatic way throughout the duration of the conference. This includes during committee and and at the social events. The Secretariat reserves the right to immediately expel delegates for unacceptable behavior including, but not limited to: vulgar language, suggestive remarks, obscene gestures or body language, violent physical outbursts, or derogatory comments both in and out of committee.

  2. Any form of harassment or discrimination based on race, gender, sexual orientation, ethnicity, national origin, religion, age, socioeconomic status, or disability will not be tolerated. Bullying, harassment, and cyber-bullying in any form are prohibited at the conference. Any offenders will be dealt with immediately and strictly.

  3. Delegates will refrain from behaviors that pose a threat to the health or safety of any other delegate or themselves.

  4. Drugs and alcohol are strictly prohibited. 

  5. Electronic devices of any kind (including but not limited to laptops, cellphones, and tablets) are prohibited during committee sessions. All cell phones should be silent before the start of committee. Electronic devices may be used outside the committee room if necessary. If a delegate has a medical or family emergency and has a reason to receive a call during committee, please inform the committee director before the session begins. The Secretariat will grant exceptions to this policy if informed of any necessary accommodations prior to conference weekend. The dais reserves the right to have committees be paperless and utilize technology.

  6. Delegates are expected to wear Western Business Attire (WBA) in committee. Clothes should be clean and presentable. Male-presenting WBA could include a coat/blazer, button-down shirt, slacks, tie/bowtie, and dress shoes. Female-presenting WBA could include a formal dress, blazer, blouse or button-down shirt, slacks or professional skirt, and formal shoes. The only exceptions to this dress code are our Friday and Saturday night social events and Sunday morning committee sessions, when delegates may wear a conference t-shirt and jeans.

  7. All students participating in the conference are bound by the College of William & Mary Honor Code, which reads:

    As a member of the William & Mary community, I pledge, on my Honor, not to lie, cheat, or steal in either my academic or personal life. I understand that such acts violate the Honor Code and undermine the community of trust of which we are all stewards.

  8. Delegates are also bound by the policies of their respective schools and sponsors.

Updated Covid-19 Policy

Out of respect for the health of our countless student volunteers who are giving up their time at conference weekend. Thus, while we no longer require delegations to be vaccinated or take a COVID-19 test before conference weekend, we still strongly encourage delegations to do so if feasible, and if not, wear a mask while on campus.

  1. WMIDMUN strongly encourages all conference participants to present proof of one of the following at the time of registration check-in. Should a participant arrive at the conference without the ability to prove vaccination status or provide a negative test, we can recommend locations in Williamsburg where they can get a COVID test to meet our requirements. Please understand the responsibility to provide proof of vaccination or a suitable test is solely on the participant.

    1. Present proof of full COVID-19 vaccination (initial series + booster if eligible) at the time of registration check-in.

      1. Acceptable methods to prove vaccination status include a CDC vaccine card (physical copy, photocopy, or digital picture), an official vaccine record issued by another state, foreign nation, or the World Health Organization, or an official vaccine record issued through a vaccine clinical trial.

    1. Present proof of a negative COVID-19 test (“rapid” PCR tests, rapid antigen tests, at-home tests and antibody tests are sufficient) taken within two weeks of registration check-in. Photos of the negative test will suffice.

      1. If the cost of testing presents an undue burden on your delegation, please contact us so we can find a solution. As a reminder, WMIDMUN offers financial aid for delegations. The financial aid application can be accessed here: https://www.wmidmun.org/fees

  2. Any potential conference participant must not attend if they are experiencing any symptoms of COVID-19, the flu, or any other contagious illness, or have been told by relevant public health authorities that they must be in isolation as a close contact for any illness over conference weekend. Additionally, if any participants fall ill during conference weekend, they are asked to remain in their hotel room for the remainder of the conference or return home if possible. If a conference participant falls ill or is a close contact and is unable to attend as a consequence of that, please contact the Registration Director to determine if a refund is possible.

Recommendations

  1. The Secretariat strongly recommends that all participants get fully vaccinated against COVID-19 prior to attending WMIDMUN.

  2. The Secretariat strongly recommends that all participants get a flu shot prior to attending WMIDMUN.

    1. Flu shots are available at most pharmacies for no cost under most insurance plans.

  3. The Secretariat strongly recommends that all participants take a COVID-19 rapid antigen test before traveling to Williamsburg.

    1. Many public libraries have COVID-19 rapid antigen tests available for free.

    2. Rapid antigen tests can also be requested for free from the federal government: https://www.covid.gov/tests 

    3. Additionally, rapid antigen testing is available at many pharmacies or tests can be purchased from pharmacies (typically eligible for insurance reimbursement).

  4. The Secretariat strongly recommends that all participants take a COVID-19 rapid antigen test after the conference, no sooner than March 8, 2023. 

    1. In the time between leaving the conference and a negative test, it is suggested that conference participants wear masks in crowded public spaces to limit potential spread.

  5. Wearing a mask on the William & Mary campus, the shuttle buses, and at the Woodlands hotel is welcomed, but not required.

Awards Policy

WMIDMUN was created to educate middle school students about topics of global, historical, and theoretical significance. Our organization has always sought to create a climate that emphasizes education rather than competition for our delegates. Our committees are not awards based and no awards are given out at our conference in the hopes that delegates feel at ease in the committee room and feel comfortable trying new things. All delegates will receive a certificate commemorating their time here at WMIDMUN but no ranked or unranked awards will be given out.
